Identification and contact data provided through forms or email, such as name, company, role, email address, telephone number and country.
Information voluntarily included in enquiries, demonstration requests or communications.
Basic technical connection and security data, such as IP address, access logs, device or browser type, where needed to operate and protect the website.
Cookie or language preferences where these functions are used.
Purposes and legal bases
We process data to respond to enquiries, arrange demonstrations, prepare proposals and take pre-contractual steps requested by the data subject. The legal basis will be consent and, where applicable, steps taken at the data subject’s request before entering into a contract.
We may also process data to secure the website, prevent abuse, manage incidents and comply with legal obligations. The legal basis will be our legitimate interest in protecting our systems or compliance with legal obligations.
We will only send marketing communications where consent has been given or where permitted by law. Consent may be withdrawn and marketing may be objected to at any time.
Recipients and service providers
Data may be processed by technology providers needed for website operation, hosting, security, email or form management. These providers will act as processors where applicable and will be subject to contractual confidentiality and data-protection obligations.
Hosting and processing currently take place through Amazon Web Services in the North Virginia region (us-east-1), United States.
International transfers
Using AWS in the United States means that certain data may be processed outside the European Economic Area. Roubot S.L. relies on the applicable AWS contractual mechanisms, including its Data Processing Addendum and the Standard Contractual Clauses where relevant, together with reasonable technical and organizational safeguards.
The specific AWS services, supplementary safeguards and applicable subprocessors should be documented and reviewed periodically.
Retention
Enquiries and demonstration requests will be retained for as long as necessary to respond and conduct reasonable commercial follow-up. Where there is no contractual relationship or continuing legitimate interest, data will be deleted or restricted in accordance with applicable legal periods.
Technical and security logs will be retained for the period needed to investigate incidents, prevent abuse and comply with legal obligations. Specific periods must be defined in the technical configuration before launch.
Rights
You may request access, rectification, erasure, objection, restriction and portability, and may withdraw consent, by emailing cesar@roubot.ai and identifying the right you wish to exercise. We may request reasonable information to verify your identity.
You may also lodge a complaint with the Spanish Data Protection Agency if you believe the processing does not comply with applicable law.
Security
Roubot S.L. will apply reasonable safeguards, including HTTPS encryption in transit, access controls, stronger authentication for administrators, backups and permission reviews. Measures must be adapted to the risks and to the AWS services ultimately used.
Children
The website is not directed at children under 14. We do not knowingly request children’s data. If such data is identified, it will be deleted as soon as reasonably possible.
Changes
This policy may be updated to reflect legal, technical or service changes. The current version and update date will be published on this page.
